Weekzy User Guide

Weekzy is a multi-tenant employee management platform. Companies register their own workspace and use it to track weekly reports, manage tasks, run team announcements, and chat with an AI assistant.


Getting Started

First Login

After registration, the company admin (manager) receives a welcome email with login credentials. Log in at your Weekzy URL, then:

  1. Go to Settings to upload a company logo and set brand colors.
  2. Go to Roles to define your team's job roles (e.g. Designer, Developer).
  3. Go to Employees to invite your team members.

Employees receive an invitation email with a link to set their password. No manual password sharing is needed.


For Managers

Adding Employees

  1. Open Employees in the sidebar.
  2. Click Invite Employee, enter their name, email, and role.
  3. They receive an email invitation. Once accepted, their account is active.

Creating Roles

Roles define job titles in your company. Navigate to Roles and click Add Role. Each role has a name, optional description, and a slug used internally. Roles appear in task assignments and reports.

Creating Tasks

Tasks are weekly checklists for employees.

  • General tasks — assigned to a role and appear for all employees in that role every week.
  • Custom tasks — assigned to one specific employee, optionally for one specific week.

Go to Tasks, click Add Task, fill in the name, difficulty, role, and schedule type.

Reviewing Reports

Under Reports, you can see all submitted weekly reports. Click any report to read the items, add a note, and mark it as Reviewed. Employees can edit their report until it is reviewed.

Analytics

The Analytics page shows submission rates, task difficulty trends, and employee performance scores over the last 12 weeks.

Documents

Upload internal documents (policies, job descriptions, SOPs) under Documents. Employees can browse them in the Docs section. Job description documents linked to a role are also fed into the AI assistant context.

Announcements

Post company-wide announcements from the Announcements page. Choose a type (General, Urgent, Event, etc.) and set an expiry date. Announcements appear at the top of every page for all employees.

Employee of the Month

Recognise standout team members under Employee of the Month. A badge appears on their dashboard.


For Employees

Submitting a Weekly Report

  1. Log in and go to My Report in the sidebar.
  2. You will see your tasks for the current week pre-loaded.
  3. For each task, enter what you did, rate actual difficulty, and add any notes.
  4. Click Submit when done. You can edit the report any time before your manager marks it as reviewed.

AI Assistant

The AI Chat page lets you chat with the company AI assistant. The assistant has context about your company's roles, documents, and tasks, so you can ask questions like "What are my tasks this week?" or "Summarise our design guidelines."


For Supervisors

Supervisors have the same report submission flow as employees. In addition, they can view the reports of team members they supervise via the Dashboard. Supervisors cannot edit company settings or manage employees.


For Weekzy Admin

The Weekzy platform admin manages all companies from the Weekzy section (accessible only to the platform super admin):

  • Companies — view all registered companies, their plan status, and employee counts. Activate/deactivate companies. Grant free subscriptions.
  • Plans — create and edit subscription plans with token quotas, employee limits, and pricing.
  • Payments — view all payment logs.
  • AI Usage — monitor token consumption by company and feature.
  • Contacts — review contact form submissions from the landing page.
  • Content — edit landing page text, hero copy, and contact details.
  • AI Settings — set the default AI model, temperature, and token limit.

FAQ

Can I change my company logo? Yes — go to Settings and upload a new logo.

Can employees see each other's reports? No. Employees only see their own reports. Managers and supervisors see team reports.

What happens when the trial expires? The account is locked until a paid plan is activated via the Billing page.

Is the AI assistant private to my company? Yes. Each company has its own context; the AI does not share data between companies.

How do I reset an employee's password? An employee can use the "Forgot password" link on the login page. Managers can also re-invite an employee from the Employees page to reset their access.
